1. Overview & Charitable Non-Profit Purpose
The Society for the Prevention of Cruelty to Animals Randfontein & Westonaria (SPCA RandWest) is a registered non-profit organization (NPO no. 002-029). Every rand raised through our online charity store, fundraisers, and donation drives is dedicated to rescuing animals, providing veterinary medical care, operating our shelter kennels, and preventing animal cruelty across Randfontein and Westonaria.
Because our operations rely on public generosity, we maintain a transparent, fair, and responsible returns and refund policy that protects both our supporters and the animals in our care.
2. Online Charity Shop Merchandise (Calendars & Exam Boxes)
Our online shop offers fundraising merchandise, including our official 2027 Shelter Calendar (R100) and Exam Stress Boxes (R350).
Damaged or Defective Items
If your items arrive damaged, defective, or do not match what you ordered:
- Please notify us within 7 calendar days of receiving the package.
- Send an email to chairman@spcarandwest.co.za or a WhatsApp message to +27 71 665 6534 with your full name, order number, and clear photos showing the damaged product and packaging.
- Upon verification, SPCA RandWest will immediately arrange a replacement sent to you free of charge or provide a full refund of the product purchase price.
Cancellations Before Dispatch
If you made an order by mistake, you may cancel it for a 100% full refund provided that you notify us before the parcel has been packaged and handed over to the courier service.
Change of Mind
Because all merchandise sales directly fund daily food, shelter, and medical care for rescue animals, we cannot accept returns or issue refunds for change-of-mind once items have been dispatched in good condition.
3. Courier Delivery & Shelter Collection Terms
- Courier Arrangement: After placing your order online, please contact our team via WhatsApp at +27 71 665 6534 or email chairman@spcarandwest.co.za to confirm your delivery address and arrange courier fees based on your location.
- Shelter Collection: You are warmly welcome to collect your order in person directly from the shelter (Randfontein Rd, Uitvalfontein 244-IQ, Randfontein) during normal operating hours at zero delivery charge.
- Non-Refundable Courier Fees: Once a parcel has been collected by the courier carrier, courier and transit fees are non-refundable, as these represent direct third-party logistics costs.
4. Charitable Donations & Kennel Sponsorships
Donations made to SPCA RandWest via Yoco (Debit/Credit Card, Apple Pay, Google Pay, Instant EFT) or direct bank transfer (EFT) represent irrevocable charitable gifts to our non-profit organisation.
Duplicate or Accidental Transactions
If an error occurred during your donation (such as an accidental duplicate charge or an incorrect amount entered during checkout):
- Please contact our finance office at finance@spcarandwest.co.za within 14 calendar days of the transaction date.
- Provide your donor name, transaction date, payment confirmation, and the payment reference number.
- Once verified, genuine duplicate or erroneous charges will be promptly refunded to your original payment card or bank account.
Section 18A Tax Certificates
If an official Section 18A tax deduction certificate was issued for a donation that is subsequently refunded, that certificate will be formally revoked and invalidated with SARS in accordance with South African tax laws.
5. Pet Adoption Fees & Lifelong Animal Return Clause
Adoption fees paid when adopting a rescue animal from SPCA RandWest are strictly non-refundable.
Why Adoption Fees are Non-Refundable
The adoption fee does not constitute the purchase price of an animal. Rather, it is a subsidised contribution towards statutory veterinary treatments completed before the animal leaves our care, including:
- Mandatory sterilisation (spay or neuter procedure).
- Microchip implantation and national registration.
- Initial vaccinations and deworming treatments.
- Comprehensive veterinary health check and temperament assessment.
Compulsory Lifelong Return to SPCA
Under our official NSPCA Adoption Agreement, if an adopter is ever unable to keep, care for, or accommodate an adopted pet at any time during its life, the animal must be surrendered directly back to SPCA RandWest. Adopted animals may never be sold, given away, rehomed privately, auctioned, or abandoned. No adoption fee refund is issued upon return, but we guarantee lifelong shelter and protection for the animal.
6. Refund Method & Processing Timelines
- Turnaround Time: Approved refund requests are processed within 3 to 7 business days.
- Yoco Online Card Payments: Refunds are reversed directly to the credit or debit card used during checkout through Yoco's secure merchant portal.
- Direct EFT Payments: Refunds for bank transfers are paid into the verified bank account of the original payer upon presentation of an official bank confirmation letter to prevent fraud.
